Travel Bookings – Terms & Conditions
The following general Terms & Conditions apply to all bookings made with Yatra Manager (hereinafter referred to as “Yatra Manager”), including but not limited to Fixed Departures, Customized Char Dham Yatra packages, Hotel Reservations, Helicopter Tours, and other travel-related services.
Acceptance of Terms:
By proceeding with any booking—whether for a tour, trekking or adventure activity, hotel accommodation, helicopter or airplane ticket, bus/train ticket, taxi service, guide, or any other travel package—you acknowledge and agree to be bound by these Terms & Conditions.
The link to these Terms & Conditions is provided in all official email communications. It is presumed that you have read, understood, and accepted the terms prior to confirming any booking with Yatra Manager.
- All the Rates Mentioned are valid and Applicable to Indian Nationals Only.
- Tariff for Foreign Nationals/NRIs are on Requests Only.
- Please Read email carefully and understand the content and prices. All the emails and Conversations will be the part of your contract with us once you make the booking.
- General Hotel Check in time 1 PM, and Check out Time 11:30 am for Accommodations.
- If arrival time is not mentioned reservations will be released at 6 pm.
- The applicable tariff packages are subject to change without prior intimations or notice mail.
- In case of non availability of rooms/services at our respective hotels for reasons, the hotel would be arranging alternative similar accommodations/services.
- Activities mentioned are subject to group size, climatic conditions, accessibility due to rain or snow. The decisions of Instructor/guide shall be final Following the activity wise, refund/cancellations Policy of “Third Party Service Providers”. As we have not charged extra for activities, there are no refund if any activities are not conducted.
- Hotels suggested above is subject to availability on dates and prior confirmations, and in case we do not find rooms in above hotels in any circumstances whatsoever we will arrange the same we will arrange the same in similar category hotels for parallel arrangements.
- Charges for AC/Heater shall be extra as per hotel basis.
- Please take care of belongings before leaving the car/hotels. Yatra Manager is not responsible for any loss.
- As per the directive given by government of India, all Indian/Foreign Nationals are required to provide proper proof of Identification upon check-in or as and when required during the tour or package by third party service providers or any Government Officials during Package Service Period.
- Hotels/ camps/ or any kind of accommodation or service provider can deny stay or services, if valid ID proof is not provided. Yatra manager Shall not be responsible for any ID Proof Related Issues.
- For Extra Adults many hotels/camps provide extra mattress also instead of Extra bed. Kindly inform us in advance if you need extra Bed instead of extra mattress.
- In case of fixed departure tours with transportation, sitting arrangements in bus tempo will be on rotation basis, Our representatives will guide you for this, along with your cooperation.
- Due to any reason if vehicle breakdown due to technical reasons we will try our best to arrange another vehicle as soon as Possible for the major Problems. For minor problems which will not take much time vehicle shall be repaired. You Shall Kindly Cooperate under such circumstance due to any reason whatsoever.
- We shall not be responsible for any delay & alterations in the program or expenses incurred directly or indirectly due to natural hazards, flight cancellations, accidents, breakdown of transport, weather, sickness, landslides, closure/blockades due to political unrest or any such incidents.
- AC shall not work in all hill areas or stopped/parked vehicle.
- In Case of Packages with transportation, vehicle are on disposal from pre advised meeting Point. Client may arrange on their own to get transfer to pickup/drop point. Vehicle charges are inclusive of all toll taxes /parking and driver allowance.
- Driver shall not drive on the NO Entry zones and shall not be forced drive on narrow streets or roads which can create traffic jam. Normal Working Hours of Driver are 12 Hours. In Case you want services more than 12 hours in a day, Kindly inform us in advance.
- In some hill area roads driving after sun set and music is not allowed due to risk to life. Kindly cooperate for the same.
- Pick up and Drop Points shall be one only. If Multiple pickups and drop, please mention in email conversations, prior to final booking confirmations from both sides.
- The rates are subject to change, depending on the fluctuations of diesel/cng/petrol prices in india. If the Prices increased more than 5% from the time of booking, we will increase the rate even if the rates are confirmed earlier.
- We reserve the right to give you similar car if the car you booked is unavailable.
- At many of tourist destinations / hill stations some of the roads / shopping Market / mall Roads / sight seeing points /mall roads have NO entry for all /some bigger tourists vehicle depends on destination along with time restrictions also. In this kind of situations guests have to manage another available mode of transport with an additional cost and on direct payment basis. This cost is not included in the ideal Package inclusions.
- It is presumed the tourist is medically fit to undertake the tour. If you have certain kind of allergy(especially for food) or any serious health issues kindly inform us in advance.
- No refund for short stay or unveiled facilities.
- GST & Other government taxes shall be charged extra as per government notifications.
- Confirmation is subject to force majeure clause.
- No cancellation or refund will be made if situation is beyond our control such as bad weather, landslide, climatic conditions, or any natural disasters, fire, any embargo, acts or decision of government, political or national crisis, road blocks, heavy snow fall, acts of terrorism, or any other similar cause whatsoever it may, strikes or problems at airline, rails, buses, hotels or transporters, labour unrest, insolvency, business exigencies, operational or technical issues, route or flight cancellations, or due to which the customer could not reach the destination and which is beyond our control.
- Yatra manager is not responsible in any many manner whatsoever for any accident/ injury/ death/theft/ damage of person/property/luggage/goods during the course of the tours.
- All rights reserved to the management to cancel the service without any refund until full advance many towards the service is received from the customer and accepted by the Yatra Manager. Yatra Manager can change the features or functionality of the services any time without any notice or information.
- We as a service provider shall be under no liability whatsoever in respect of any loss or damage arising directly indirectly out of the decline of authorization for any transaction, on account of the cardholder having exceeded the preset limit mutually agreed by us with our acquiring bank from time to time.
- Yatra Manager hereby expressly disclaims any implied warranties imputed by the laws of any jurisdiction only of the court of Haridwar (India).
- Any expenses for the unforeseen circumstances shall be shared.
- Himalayan are Unpredictable. In some cases due to bad whether it is possible that the trek can not be completed. Yatra Manager will do its to make it possible but your safety is a much bigger concern for us.
- Yatra Manager reserves the rights to modify or cancel the track or trek itinerary under unusual and unforeseen circumstances.
- The trek we offer demands a person physically and mentally strong and fit. Before booking the trek please tell us if you have any medical condition.
- No Refunds shall be made for any accommodation, sightseeing, meals or services not utilized.
- You are solely responsible for your personal belongings during the trek.
- Behaviour that can cause danger, annoyance to others, or interfering with the procedure may lead to termination of your participation from the trip, with no right to refund. We expect you to be a responsible trekker and co traveler.
- We Provide basic amenities in the wilderness of Himalayas, Please do not expect any luxury treatment.
- Baggage and personal items are at your own risk throughout the trip. Kindly do not carry any valuables during the trek. You are solely responsible and liable for your personal belongings and items. We are not responsible for any loss of baggage, goods, air tickets, passport, cash, traveler’s cheque or any other travel document owned by you while on tour, whatever the cause.
- Eligibility: Participants must be at least 18 years of age and in good physical and Mental condition to participate in the trek.
- Booking and Payment: A deposit is required to confirm your booking, with the balance due before the start of the trek. Payment can be made by credit card, bank transfer, or cash.
- Refund Policy:- No Refunds will be made for the items or service unutilized. For more details please read our Refund and Cancellation Policy.
- Cancellation Policy: Cancellation fees may apply if you cancel your booking. The amount of the fee will depend on how close to the start date of the trek you cancel. For more details please read our Refund and Cancellation Policy.
- Insurance: It is recommended that participants have adequate travel insurance that covers trekking and other adventure activities.
- Health and Safety: Participants are responsible for their own health and safety during the trek. It is important to inform the trek leader of any medical conditions or allergies before the start of the trek. In the case of falling ill or suffering an accident during the trip all hospital expenses, doctor fees, evacuation from road or mountain or any other charges incurred direct or indirect result of your illness/accidents shall be born and paid by you and in totality and your sole responsibility.
- Equipment: Participants are responsible for bringing their own equipment, such as appropriate clothing, footwear, and a sleeping bag. Some equipment may be available for rent from the trekking company.
- Itinerary: The trekking company reserves the right to change the itinerary due to weather conditions, safety concerns, or other unforeseen circumstances.
- Liability: The trekking company is not liable for any injury, illness, death, loss, damage, or theft that may occur during the trek. Trekking in Himalayas requires a degree of personal risk. You are likely to visit places where you will be facing danger and certain risks and physical challenges. By participating in a trek with Yatra Manager, you accept that you are aware of the personal risks and dangers attended upon such travel and that you assume and understand the risks involved. You hereby assumes and understand all such risks and release the Yatra Manager and its Service Partners from all claims and causes of action arising from such damages, injuries or deaths resulting from inherent risks.
- We reserve the right to photograph you during the trek and use the same for our website and promotions.
Helicopter bookings are subject to specific operational, safety, and regulatory guidelines. By confirming a helicopter package or ticket with Yatra Manager, you agree to the following terms:
Helicopter Ticket / Package Booking Terms & Conditions Issued by Yatra Manager : These terms govern all bookings related to helicopter packages and charter services offered by Yatra Manager. By confirming a booking, the passenger acknowledges and agrees to the following conditions:
1. Passenger & Baggage Limitations
- Each helicopter may accommodate a maximum of 4 to 6 passengers, subject to aircraft configuration and operational feasibility.
- The combined passenger weight must not exceed 300 kilograms.
- Maximum baggage allowance is strictly limited to 5 kilograms per person.
- Passengers may carry only one small personal pack (not exceeding 2 kilograms) onboard.
- Excess baggage or oversized luggage will not be permitted under any circumstances.
2. Pricing & Confirmation
- All prices are subject to change without prior notice. Passengers are advised to confirm current rates before making payment.
- A 100% deposit of the total tour cost is required to secure the reservation.
- Final payment must be made prior to the commencement of the tour, or as mutually agreed at the time of booking confirmation.
3. Schedule & Operational Adjustments
- All reporting times and transfer schedules between flying points will be communicated by Yatra Manager.
- Crew assignments, aircraft availability, and flight timings are subject to change based on operational constraints and weather conditions.
- The schedule provided in emails or invoices is tentative and intended for reference only. Final itinerary will be confirmed one day prior to departure, and may be altered at the last moment due to unforeseen circumstances.
4. Cancellation & Refund Policy
- Yatra Manager reserves the right to cancel any confirmed charter service at any time prior to departure due to technical issues or operational restrictions.
- No guarantee is offered regarding specific flying dates or punctuality, as services are dependent on third-party aviation operators.
- In the event of cancellation due to unforeseen reasons, a full refund will be issued.
- Yatra Manager shall not be held liable for claims, complaints, or losses arising from delays, cancellations, or service disruptions. Our role is limited to facilitation and support, not assurance of third-party aviation services.
5. Weather-Related Contingencies
- During Char Dham helicopter tours, passengers may be required to stay overnight at Kharsali or Harsil, phata, vaishno devi or during any other helicopter tour or Air Safari, due to weather or operational clearance.
- Any additional accommodation or meal expenses incurred due to such delays shall be borne by the passengers.
- Yatra Manager will cover the cost of crew and aircraft for one additional night only.
- If conditions do not permit continuation of the Yatra after this period, the tour may be cancelled without extension or compensation.
6. Exclusions
Tour prices do not include the following unless explicitly stated:
- Laundry, telephone, internet usage
- Alcoholic beverages, mineral water
- Travel insurance, international flight tickets, visa fees
- Tips, monument entry tickets, camera/video fees
- Any other miscellaneous or personal expenses
7. Airline-Imposed Charges
Any additional fees or taxes imposed by the airline or aviation operator shall be paid directly by the passenger.
8. Program Modifications
- Most tour programs allow customization or deviation (e.g., change of destination, departure date, or extension), provided such requests are made in writing at least 21 days prior to tour commencement.
- No changes will be accepted or processed within 21 days of the scheduled departure.
Note: These terms are designed to ensure transparency, safety, and operational efficiency. Passengers are advised to read them carefully before confirming their booking.
To confirm any travel booking with Yatra Manager—whether for domestic tours, international packages, helicopter services, or fixed departures—the following payment terms apply:
Booking Process & Payments: Terms & Conditions
- Advance Deposit: To secure your tour package, please deposit an advance payment of INR 20,000/-.
- Pre-Tour Payment: Please ensure that 50% of the total amount is paid within 2 to 3 days of booking confirmation. Failure to do so will result in the cancellation of your booking. In such cases, any advance payment made will be subject to our cancellation policy, as applicable before the tour begins. Kindly note, this payment confirms your participation in the tour.
- Final Payment: The remaining balance is to be settled upon your arrival, before the start of the tour.

Foreign Tours and Fixed Departure Packages
1. Standard Bookings
To confirm participation in any international tour or fixed departure package, the entire package amount must be paid no later than 30 calendar days prior to the scheduled check-in date or tour commencement date, whichever is earlier.
- This payment secures your booking and enables us to proceed with necessary arrangements including visa processing, accommodation, transportation, and other inclusions.
- Failure to remit the full payment within the stipulated timeframe may result in automatic cancellation of your booking, subject to applicable cancellation charges.
2. Last-Minute Bookings
For bookings made within 30 days of the check-in or tour start date:
- The full package amount must be paid at the time of booking, regardless of the proximity to the travel date.
- Confirmation is subject to availability and operational feasibility, and will only be processed upon receipt of full payment.
- In such cases, expedited documentation and coordination may be required. Yatra Manager shall not be held liable for delays or denials arising from incomplete or late submissions.
3. Payment Confirmation
- Bookings are considered confirmed only upon receipt of full payment and issuance of a formal confirmation voucher by Yatra Manager.
- Partial payments or informal confirmations do not constitute a binding agreement unless explicitly acknowledged in writing by Yatra Manager.

Cancellation and Refund Policy :: Yatra Manager
- 30 Days or more; 90% refund of total amount.
- 15 to 30 days : 50% of refund of total amount.
- Less than 15 days: No refund
Note: No refund in case of no Show, road blocks, Accidents etc.
- Cancellation Notice: To cancel your booking, please provide written notice at least 7 days prior to your scheduled departure date. No telephonic communication, Text messages or WhatsApp messages shall be accepted as cancellation Notice.
- Please Read email carefully and understand the content and prices. All the emails and Conversations will be the part of your contract with us once you make the booking. Write to us for cancellation or any amendment in Tour Plan only on at –

- Refund of Advance Deposit: In the event of a cancellation, 50% of the advance deposit will be deducted, and the remaining 50% will be refunded to you.
- Refunds will be processed within 10 business days from the date of cancellation confirmation.
- Cancellation charges of 50% will apply if a confirmed reservation is canceled between 30 to 15 days from the date of arrival.
- Cancellation charges of 75% will apply if a confirmed reservation is canceled between 15 to 7 days from the date of arrival.
- Cancellation charges of 100% will apply if a confirmed reservation is canceled within a week of the date of arrival.
- If a booking is canceled 30 days before the date of arrival, a per person communication service charge of INR 1000/- will apply, followed by the cancellation policy.
- No-shows and early departures will incur a 100% charge of the entire stay.
- Wildlife safaris booked in any of the Indian Wildlife National Parks/Sanctuaries are non-refundable. Date change requests or any amendment in booked Tour Plan will be considered as cancellations, and no payment will be refunded or adjusted. Jeep safaris are organized by the Government, and in case of bad weather (heavy rain, road blockage, etc.), the Government reserves the right to cancel the safari for the safety of visitors. Any change request will be considered as a cancellation, and no payment will be refunded or adjusted.
- Amendments: The change of a booked tour will be treated as a cancellation. However, minor amendments can be made with the payment of a communication charge, which will vary from case to case.
Your refund request shall be answered and processed properly and promptly. If you do not receive a reply with in one business day please call at our support number below. We shall not be responsible if email, mails fails to reach us.
